Background Information:

Purpose

This policy was created to establish guidelines for the provision of specific benefits to be given to eligible employees, members or students of corporate and community partner organizations. The policy addresses financial, operational and procedural requirements associated with each specified benefit.

The revision of this policy was implemented so that the partnership benefits would aid in attracting new students to the College and also encourage students to return to their previously started studies at SUNY Empire.  In the original policy, the partnership benefits were available to new, first-term enrollments in a matriculated program.  The new policy broadens the benefits to returning and current students in a matriculated program.  Given that SUNY Empire students often need to take a break from their studies, this policy change to encourage students to reenroll with SUNY Empire is aligned with the needs of our student population.

In keeping with the college’s mission to enhance and increase partnerships with corporations, associations, and community organizations, SUNY Empire State College will provide an additional benefit of value to employees, members or students of partner organizations. The provision of the benefit serves to incentivize new, continuing and returning enrollments, signifies that a mutually advantageous relationship exists between the parties, and provides additional means of data collection.

Employees, members or students of organizations that are deemed partners and are new students to SUNY Empire or returning students who are considered inactive (i.e., more than three years since their last enrollment) will be eligible to receive a waiver of the college’s orientation fee at the time of submission of their admissions application; those who are accepted and admitted to the college will receive a one-time only Presidential scholarship ($100 value) upon enrollment in courses in a degree program or certificate program.  Employees, members or students of organizations that are deemed partners and are active students (i.e., currently enrolled in SUNY Empire courses or have enrolled within the past three years) will be eligible to receive a one-time only Presidential scholarship ($100 value) upon their next term of enrollment in a degree program or certificate program.

The director of corporate and community is responsible for administering the partnership benefits program. Authorized representative(s) of the partner organization is responsible for providing proper guidance and information to employees, members or students about the college’s partnership benefits.

The director of corporate and community partnerships will consult regularly with the college’s admissions, financial aid, student accounts, registrar, student information center and marketing staff and personnel to inform the college community of the status and administration of partnership benefit program.

Through periodic review of the partnership benefit, the Vice President of Administration, with the Provost and the Vice Provost for Academic Administration may recommend and submit for cabinet approval to append any or all of the partnership benefits as described herein.

Procedures

Once a partnership is formed that includes eligibility for partnership benefits, the corporate and community partnership office provides notification to appropriate staff and personnel including but not limited to admissions, student information center, Registrar, student accounts, financial aid and marketing. Notification is given electronically.

The corporate and community partnership office submits a tech ticket through the online ticket system that triggers the creation of a code that will be used as tracking tool within Banner. Once the code is established within Banner, appropriate offices will be notified. The corporate and community partnership office is responsible for providing the code to an authorized representative of the partner organization with guidelines on proper use and distribution of the code. In addition to the code, the partner name will be added to the application drop down list so that students can self-select their partnership affiliation.

Codes and partner naming with the dropdown list will be reviewed on an annual basis and may be altered or replaced at the discretion of the director of corporate and community partnerships.

Students who complete an application (i.e., new and inactive students) will identify their partner affiliation and provide the code in the in the application process. This information will then be used to provide the $100 credit and $50 orientation fee waiver.  Active students (i.e., currently enrolled or returning with 3 years of last enrollment), will contact the partnerships office.  The partnership office will submit a tech ticket and the code will be added to the student’s record and will identify the student as eligible for the $100 one-time Presidential Scholarship.
